What are Codex categories, and how can I use them in my projects?

Custom categories are a way to group related Codex entries - for example, you might have a mafia organisation and you want to group together all the members of the group, their hideouts, the lore/backstory, and any significant weaponry or items they have.

By grouping them together it is much easier to locate your entries, and you can minimize the category if you are writing scenes where they are not needed.

How to make a custom category

To make a custom Codex category:

  1. In the Codex side panel, click on the cog icon

  2. Select Custom Categories

  3. Select + New

    Create new custom category

  4. Name your category, choose a color (optional), choose the associated types (leave all selected if you are unsure), and choose the associated tags. This will indicate the ‘tag’ that you need to assign to entries to bring them into the category. Once named, your Codex category will appear in the side panel.

Custom categories can be shared across items in a series, but not across unrelated books.

You can edit the custom category by clicking on the pen icon in the Codex, next to the category:

Colour-coded categories

Each custom category can be assigned a color, which is displayed next to the category name in the Codex side panel to help you visually distinguish your categories at a glance.

To set or change the color, open the category editor and select one of the color swatches in the Color section on the right. Select the circle with the line through it to remove the color.

Entries in multiple categories

An entry can appear in more than one custom category at the same time. Whenever an entry matches the rules of several categories — for example because it carries multiple tags, each associated with a different category — it will be listed under all of those categories simultaneously.

This makes it easy to view related entries from different angles. For example, a character who is both a member of a guild and a city resident will appear in both the Guild and City categories.

How to transfer an entry to a custom category

1. With Tags

To transfer a Codex entry to a custom category:

  1. Click on the Codex entry

  2. In the tag section, type the ‘tag’ you designated for this category. In this case, “Rivers”.

  3. The item now appears in the Rivers Family category, rather than character section of the Codex:

What if I want to remove an entry from a custom category

To remove a Codex entry from a Codex category, simply remove the associated tag from the tags/labels section.

2. By Codex Detail

  1. Go to Codex Categories and select your category

  2. Click + Add Detail

  3. Select your associated Codex detail (dropdown type only) and the respective subcategory.

  4. Now any Codex entry with that Codex Detail will be added into the Codex Category

How to delete a custom Codex category

To delete a custom Codex category:

  1. In the Codex side panel, click on the cog icon

  2. Select Custom Categories

    Select custom categories

  3. Select the custom category that you want to delete

  4. Select Delete Category .
